ERP Optima integration

Moving large datasets and documents out of ERP Optima and into the client's own ERP system, with no manual re-keying.

Client anonymised

Context

The company had run its accounting and sales on ERP Optima for years. At the same time it was building its own ERP, meant to take over entirely. Everything held in Optima, including historical documents, had to move across.

Problem

Re-keying that volume of data by hand would have taken the team weeks and almost certainly introduced errors. Optima has no simple export that rebuilds the data structure in a different system, and the job called for a full import rather than a handful of tables.

Solution

After studying the client’s system, we built a standalone import service. It reads from ERP Optima through its COM DLL interface and exposes the data over a REST API. The client’s new ERP pulls records and documents from that API in an agreed format. The service can be run repeatedly, so the import can be rehearsed and checked before the final cut-over.

Outcome

The client moved its data between the two systems without any manual re-entry. The hours saved went into launching the new ERP, and the risk of mistakes when migrating documents all but disappeared.
